Introduction & Purpose

At Limbach, we value partnerships with suppliers who share our commitment to integrity, quality, sustainability, and ethical business practices. This Supplier Policy describes our expectations for all suppliers and serves as a foundation for a responsible supply-chain relationship.

Scope

This policy applies to all companies, organizations or individuals that supply goods or services to Limbach (hereafter “Suppliers”) wherever they operate globally. It covers materials, components, products, services, subcontracting arrangements, and any interactions tied to our procurement.

Our Core Expectations

a) Ethical Business Conduct

Suppliers must conduct business with honesty, transparency and fairness. This includes compliance with all applicable laws and regulations, prohibition of bribery, corruption or improper payments, and honest communication with us and relevant stakeholders.

b) Labor & Human Rights

Suppliers shall respect and protect fundamental human rights, including:

  • No forced, bonded or involuntary labor.
  • No child labor, in line with national laws and international standards.
  • Safe and healthy working conditions.
  • Fair wages, benefits and working hours in compliance with applicable law.
  • Freedom of association and collective bargaining rights, where permitted. 

c) Health, Safety & Environment

We expect Suppliers to operate with care for environmental impact and worker health & safety. This means:

  • Maintaining safe workplaces, with hazard identification and risk mitigation.
  • Minimizing environmental footprint, resource use, emissions and waste.
  • Complying with all relevant environmental laws and regulations. 

d) Quality, Compliance & Performance

Suppliers must deliver products and services that meet our specifications, legal requirements, and agreed quality standards. We expect timely delivery, reliable performance, and prompt notification of issues or changes.

e) Sustainability & Responsible Sourcing

Suppliers should engage in practices that support sustainability. This includes:

  • Responsible sourcing of materials (e.g., avoiding conflict materials, respecting biodiversity).
  • Reducing carbon footprint, energy and water use.
  • Encouraging innovation for more sustainable products and processes. 

Supplier Selection & Evaluation

In selecting and retaining suppliers, [Your Organization] will consider how well the supplier aligns with this policy. Criteria will include ethical conduct, labor practices, health & safety record, environmental responsibility, quality performance and cost-effectiveness. Suppliers may be required to complete assessments, audits, or self-surveys to demonstrate alignment.

Engagement, Monitoring & Continuous Improvement

Our supplier relationship is a partnership. We commit to:

  • Providing clarity about our requirements and expectations from the outset.
  • Collaborating with suppliers to resolve issues and foster improvements.
  • Conducting periodic reviews, audits and evaluations of supplier performance and compliance.
  • Working with suppliers on corrective action plans when gaps are identified, and tracking progress. 

Reporting, Transparency & Escalation

Suppliers are expected to be transparent in their operations and to promptly report any violations of this policy. We encourage open communication and provide a channel for reporting concerns. Limbach will respect confidentiality and non-retaliation for good-faith reports.

If you believe a supplier is in breach of this policy, we may require corrective action, suspend business, or terminate the relationship depending on the severity and responsiveness.

Subcontractors & Supply Chain Management

Suppliers must ensure that their subcontractors, agents and supply chains abide by the same standards laid out in this policy. Limbach reserves the right to require suppliers to share information about their supply-chain and to engage in audits of critical tiers.

Subcontractor Safety

Building on a safety-first culture, we require that our suppliers embrace subcontractor safety in the spirit of leadership, mentorship and shared accountability as reflected in best-practice programs such as the “Hearts & Minds” safety culture developed by Limbach. 

Key Expectations:

  • Shared Ownership of Safety: Suppliers must foster a mindset where subcontractors are treated as partners in safety. Everyone—from senior leadership to frontline workers—should lead by example in safety behaviors. 
  • Subcontractor Pre-Qualification & Accountability: Prior to engagement, suppliers must assess subcontractors for their safety credentials, training programs, incident history, and commitment to continuous improvement.
  • Training & Mentoring: Suppliers should ensure their subcontractors receive appropriate safety induction, ongoing mentoring, and coaching in safe work-practices—modelled on the “Mentoring & Coaching” pillar of the Hearts & Minds program.
  • Engagement At All Levels: Safety leadership is not only a task for site-safety staff. Suppliers must engage management, site supervisors and subcontractor leads in regular safety dialogues, observations, and feedback loops—reflecting the “Engaging at All Levels” approach.
  • Planning & Knowing the Details: Projects involving subcontractors must include comprehensive safety planning—hazard identification, controls, emergency procedures and documentation of roles and responsibilities. This draws on the “Knowing the Details” element.
  • Performance Monitoring & Improvement: Suppliers must monitor subcontractor safety performance (e.g., incident/near-miss reporting, safety observations, corrective actions) and work with subcontractors on safety improvement plans when gaps are identified.
  • Safety Culture Alignment: Suppliers should align with an injury-free vision (for example, “Incident and Injury Free” mindset) and ensure subcontractors understand that safety is core to performance—not optional.
  • Recognition and Feedback: Suppliers are encouraged to establish positive reinforcement systems—recognizing safe behaviors and safe subcontractor performance, thereby sustaining engagement and accountability. 

Communication & Training

We expect suppliers to ensure that their teams, operations and management are aware of and trained in this policy. We will also provide guidance and resources to support compliance and continuous improvement across our supply-chain.

Review of Policy

This policy will be reviewed at least annually, or sooner if required by changes in legal or regulatory requirements, industry best practices, or our organizational strategy.

Acknowledgement

By contracting or continuing to contract with Limbach, the supplier acknowledges that they have read, understand, and will abide by this Supplier Policy.
